As the Accounting Specialist, you will work with the Finance team to perform general accounting duties, including accounts payable, accounts receivable, and routine reconciliations. If you have experience with 10-key by touch and Microsoft Excel, we have been searching for you!

Position Qualifications

Education

  • High school diploma or GED

Experience

  • Two years of specialized bookkeeping or accounts payable experience

OR

  • Post-secondary education may substitute for the required experience on a year-for-year basis.

Other Requirements

  • Must possess or have the ability to obtain a valid Arizona driver’s license by the time of hire

Our Preferred Candidate has

  • Experience utilizing Maricopa County’s finance practices and information systems
  • Experience using 10-key by touch
  • Experience with Microsoft Excel

Essential Job Tasks

The tasks listed are a representation and not an all-inclusive list of essential job tasks for this position.

  • Interprets and applies County and Office policies/procedures for processing voluminous quantities of invoices and monthly payments
  • Screens invoices for accuracy and contract compliance, develops mechanisms for tracking activities, obtains appropriate expenditures approval as required, applies appropriate accounting string information, and creates confidential paperwork
  • Processes invoices for payment, manages associated records, and prepares and maintains purchase order files, contract files, and payment files
  • Resolves complaints and discrepancies associated with purchasing and payables, including initiating requests for additional documentation, information from vendors or contractors, and staff
  • Reviews p-card logs, ensuring supporting documentation is complete, each transaction was properly approved and posted to the correct accounting string
  • Researches historical activity and interprets applicable policies and procedures. Utilizes a computer to look up and retrieve case information from various databases
  • Initiates correction of financial activity errors and accurately creates journal entries to correct accounting errors
  • Processes additional journal entries as requested, ensuring all corrections are logical and accurate
  • Calculates statistically-based allocations for expenses not directly hitting an activity using moderate to complicated mathematical calculations and initiates related journal entries
  • Enters data for accounts payable and accounts receivable information
  • May be responsible for document delivery runs between divisions within the office, and hand deliveries to judges and Superior or District Court filing counters as needed
  • Prepares and processes specialized paperwork as directed. Assists with special projects as needed

Working Conditions

Office setting in a high volume, fast-paced environment. Requires extended periods of sitting while completing paperwork and computer activities. Position may include handling documents containing references to confidential information and traumatic subject matter (e.g., personally identifiable information, protected health information, descriptions and detailed accounts of criminal activity, etc. Ability to travel to and from various county locations for meetings and training, utilizing personal or County vehicles. Ability to move up to 20 pounds.

Selection Procedure

The Maricopa County Human Resources Department reserves the right to admit to the selection process only those candidates considered to be the most highly qualified. Those selected will be assessed based on the evaluation of listed education and experience. The hiring authority will interview and select the successful candidate from a list provided by Human Resources.

All offers of employment made to new hires and rehires at Maricopa County are contingent upon successful completion of a post-offer, pre-employment thorough background investigation. A background investigation is conducted on a current employee who changes to a Safety Sensitive Position or one having the potential for serious adverse impact on the integrity or efficiency of the County. These requirements do not pertain to employees of elected officials who undergo background investigation processes administered through their respective offices.

Typically, successful candidates are hired at a salary rate up to the midpoint of the range, based on relevant experience, internal equity, and budgetary allowances.
