Saving Time and Trouble

Everybody is busy, right? How many times do we hear people say that there just isn't enough time to do everything? How many times do we hear ourselves say that we just cannot possibly do anything more, or that we cannot do everything that needs to be done? 

How about - I'll do that tomorrow? Or I'll do that next week? Or I'll start doing that next month? 

Well, here are three simple rules that I have incorporated into my every day life whether it be my own tasks, my child or husband's "to do" list, school, work, etc. These rules can be modified for your own personal time structure, and of course, there is more detail that can be incorporated depending on what the task, but I'll save those for another post.

Tasks can be broken down into three types:

1. Tasks that you can do right now.

Here are a few examples: I should call my Mom. DO IT NOW. OR I need to e-mail my boss about a project that I'm finishing up. DO IT NOW. I need to pay my credit card bill that is due soon. DO IT NOW. Bottom line - DO IT NOW.

2. Tasks that you can do by the end of the day.

If you decide that the task does not need to be done right now or you cannot (i.e. I need to call my friend but I am already on the phone with someone else), make sure you complete it by the end of the day. If you are prone to forget things, WRITE IT DOWN. I use a simple app on my iTouch that has a TO Do list. Very helpful. 

3. Tasks that cannot be done by the end of the day or do not need to be. For example, you need to bake a cake for next weekend. Put it down on your to-do list. If it helps you, also add the date. OR - paying an insurance bill that isn't due for a few months - put it down on your calendar.

With these three rules, it is also important to limit the chaos. Having too many calendars or multiple to-do lists just adds to chaos, especially when you inevitably forget where you put that other list. If you are capable of multi-listing, then do so, but if you are just beginning this process, one calendar and one to do list is the way to go.

So, to summarize, you will have three sets of tasks. There should never be any tasks in the "Do It Now" list because... you are doing it! Tasks that can need to be done today can be put in the "To Do" list. Tasks that will be done in the future can either be put in the "To Do" list or the Calendar.
