RADNOR TOWNSHIP, PA — Radnor Township is looking to hire and Executive Assistant to the Township Manager.
The township wants to hire someone to perform a variety of complex and confidential secretarial and administrative duties for the Township Manager/Secretary.
The job is a full-time, at will position and requires a High School Diploma or GED. An Associate’s or Bachelor’s degree is preferred with a minimum of five years of experience working as an executive assistant /secretary in a fast-paced environment.

General Definition: This is an administrative position of considerable difficulty and complexity.
The employee is responsible for performing a variety of complex and confidential secretarial and administrative support duties for the Township Manager/Secretary.
The work requires the exercise of independent judgment in addressing situations involving the public, intergovernmental and interdepartmental relations. Assignments are received from the Township Manager in the form of general outlines of desired results and the employee is expected to develop methods and routines for the completion of assigned tasks.
Supervision Received: Works under the supervision of the Township Manager/Secretary

Essential Job Functions: Performs a wide variety of executive secretarial and administrative duties directly required for the daily operation of the Township Manager’s Office.
Receives the public and answers questions with positive customer service skills in a time sensitive manner; investigates and responds to inquiries from elected officials, citizens, community groups and agencies, businesses, employees and others and when necessary, refers to appropriate persons either in person, by telephone, and electronically on numerous issues including matters of confidentiality and significance on behalf of the Township Manager’s Office.
Disseminates information and directives as instructed by the Township Manager.
Coordinates and prepares agendas and associated materials for Board of Commissioners meetings including distribution to the Commissioners, staff and public as required; responsible for publication of meeting notices; prepares and organizes letters, memos, resolutions, ordinances and related materials required by the board’s actions.
Receives and opens all mail directed to the Office of the Township Manager/Secretary and is responsible for the disposition and routing of all mail, with special attention to time sensitive requests.
Assists Township Manager/Secretary in responding to electronic mail.
Researches and analyzes administrative projects for the Township Manager/Secretary requiring the gathering of information through departments or other research, preparation of draft reports for review by the Township Manager/Secretary and finalization of the project presentation.
Independently responds to letters and general correspondence of a routine nature, composes, types and edits a variety of correspondence, reports, and memoranda and other material requiring judgment as to content, accuracy and completeness.
Maintains calendar and schedule for Township Manager/Secretary and assists in arranging conferences and meetings for the Township Manager and his staff and others as required.
Makes travel arrangements and itineraries for the Township Manager/Secretary including the coordination of meetings with the offices of federal, state, and local officials as well as potential business contacts.
Plans and prepares for events as directed by the Township Manager/Secretary working with community groups and organizations in event planning and promotion as required.
Acts as custodian of administrative documents and records.
Establishes and maintains filing systems insuring records and indexes are maintained in compliance with Township records retention policies.
Assists other departments as directed by the Township Manager/Secretary.
Performs related duties as required.

Education and Experience: High School Diploma or GED required; Associate or Bachelor’s degree is preferred, with a minimum of five (5) years experience working as an executive assistant/secretary in a fast paced environment.
Required Knowledge, skills, and Abilities: Ability to communicate clearly and concisely, both orally and in writing; strong interpersonal skills; ability to understand, organize, index and reference a wide variety of administrative information and records.
Employee must be resourceful and have the ability to work independently, exercise discretion and independent judgment, assess priorities, multi-task, and possess problem solving capabilities.
Must be able to discern matters of sensitivity and confidentiality and to handle stressful situations.
Ability to establish and maintain effective working relationships with elected officials, employees, supervisors, other agencies and the public.
Must be flexible and adaptable to changing schedules including evening and weekend hours as required by the fast-paced environment of the Office of the Township Manager.
Ability to format, type and enter data rapidly and accurately. Must be able to create PowerPoint presentations as required by the Township Manager/Secretary.
Skilled in operating all standard office equipment including but not limited to computers, copiers, fax machines, postage machines, and calculators.
Must have strong computer skills including thorough knowledge of programs including but not limited to Microsoft Word, Office, Excel, Outlook, and PowerPoint with willingness to learn new applications and techniques including software applications, desktop publications and internet research.
Thorough knowledge of general office procedures.
