Founded in 1992 by Bee Chow, Cantabella Children’s Chorus is the Tri-Valley’s hub for quality choral education, music literacy and performance skills for youth, ages 5-18. Under the artistic leadership of Ofer dal Lal, more than 250 singers from Livermore, Pleasanton, Dublin, San Ramon and Danville participate in this internationally acclaimed program.

Reports to: Artistic Director and Board President

Job Description:

The Choir Operations Administrator will coordinate and manage tasks related to Cantabella’s programs; such as contracts for renting rehearsal space, performance venues and performance bookings; contracts with service providers and contractors; assisting with outreach and marketing of the chorus’ programs and performances; supporting the office staff and chorus faculty as needed, and, liaison with the Board of Directors. Applicants must have strong office and organizational skills and must be comfortable working in a calendar-driven environment with frequent deadlines.

Self-motivated individuals with strong initiative and an eye for detail are encouraged to apply. The job requires occasional presence at rehearsal sites and presence at all performances. Experience in education, nonprofits and arts administration preferred.

Duties include but are not limited to:

Communication with contractors and service providers

  • Conduct concert venue and rehearsal site search, negotiate contract terms
  • Hire and schedule photographer/videographer, sound and audio technician fo rconcerts and for CD/DVD production

Marketing and development

  • Gather and organize information to assist Marketing Director with marketing/PR for performances and the choir program
  • lmplement recruitment/promotional activities including school outreach
  • Assist with gathering and providing information for grant writing and for endowments

Office administration

  • Communicate with faculty, staff, choristers, and chorus families to disseminate, collect or explain information, answer questions and address complaints as needed
  • Develop/update the employee handbook annually or as necessary
  • Assist with parent orientation meeting and front office occasionally at rehearsals
  • Data entry for various chorus databases including but not limited to Google Docs
  • Must be familiar with Excel, Google Docs and Word Processing software. Knowledge of MailChimp or ConstantContact is desirable, but not required

  • Ability to engage positively with people/youth
