The process to register a new student can be time-consuming as specialized documents, such as certified birth certificates, social security cards and immunization records, must be presented in person to confirm their authenticity. School staff members responsible for manually entering the information into the registration system, while sometimes simultaneously completing other duties, have a monumental task.
In response to the need for a simpler and quicker process, Fulton County Schools implemented an online system that parents can use to pre-populate their child’s registration information and confidentially upload scans or .PDFs of forms like birth certificates or immunization records to be included in their preliminary registration record.

The system also uses the information to determine the student’s neighborhood school and can forward it directly to the school, where parents complete the process.
“This process makes student registration more convenient for parents,” said Myra Guy, executive director of Enterprise Applications and Information. “Although parents still have to make one final stop at the school to complete the registration process, this will trim the waiting time tremendously. Parents like it because it saves time, and schools like it because it cuts down on the amount of time to enter data for each student and the number of ‘no shows,’ which are students who are preregistered but whose parents don’t complete the process. We can now determine how many students have been fully enrolled before the first day of school. This allows us to be more efficient in how we work, which saves time and money.”
Eight schools piloted the online registration system this spring: Campbell Elementary School, Cogburn Woods Elementary School, Hamilton E. Holmes Elementary School, Manning Oaks Elementary School, Bear Creek Middle School, Northwestern Middle School, Alpharetta High School and Westlake High School.
Results were overwhelmingly positive, giving the district the green light to expand it system-wide in time for prekindergarten and kindergarten spring registration, May 6-7. Although new student registration happens every day throughout the school system, spring and summer are the busiest times for schools.
The online enrollment system is provided in English, Spanish, French and Portuguese. Paper forms are still available for parents without computer or internet access, or they can use a computer at the school to begin the registration process.
