  • Manage responsibilities for the full cycle of administration including involvement with human resources, IT and marketing functions.

    Duties:

    • Reviews and processes applications for CME programs.

  • Designs and publishes CME program announcements for upcoming events.

  • Maintains files on all CME activities, including budgets and all final documentation for Category 1 CME programs.

  • Maintains ongoing and annual reports on CME activities including budgets, and activity credits.

  • Publishes semi-annual directory announcing CME activities, including Grand Rounds conferences.

  • Takes and transcribes dictation and related general correspondence, reports, records, letters, memoranda, special projects and minutes of department meetings.

  • Prepares and distributes reports and correspondence. Files, photocopies and processes forms related to department's services.

  • Orders all necessary office supplies and maintains inventory.

  • Answers telephones, screens callers, takes and relays messages.

  • Schedules appointments, keeps calendar, and maintains a recall system, as needed.

  • Opens, sorts and distributes mail on a daily basis.

  • Assists with conferences and programs. Processes and inputs data from registration forms. Assists registrants at conference site.

    Duties:

    • Act as the gatekeeper and manage a high level volume of guests and visiting employees.

    • Answer, screen and route a high volume of phones calls to the respective department. Take accurate messages.

  • Maintain and oversee reception area and conference rooms on an on-going basis.

  • Assist with catering setup / dismantling, and setup audio / visual conferencing for numerous meetings.
