Are you in the midst of scheduling a meeting with your team, department or organization? Do you have high hopes of keeping your audience engaged in conversation, feedback, and brainstorming? There’s a plan for that! If a successful meeting is what you desire you must first know what and how much your attendees can take. Here are few things to keep in mind when meeting productivity is your end goal.

  1. Less Is More: meeting attendees start to get restless after just 30 minutes. That’s right! Studies show the average adult can stay focused in a meeting for about 20 minutes before starting to daydream, doodle, etc.
  2. The 8 minutes rule: if you are sharing any kind of presentation, remember to change what you are doing about every 8 minutes. This is the best way to keep your audience following along with you.
  3. Late Check Out: Don’t even think of holding a meeting longer than 90 minutes without taking a 5- 15 minute break. If you do, you are setting yourself up for failure in the productivity department.
  4. Have a clear agenda. Meetings run much more smoothly when everyone participating knows what is to be expected during the meeting. A clear and concise agenda helps everyone know what to be prepared for. Don’t only create your meeting agenda; share it with attendees in advance. This way the advertising department knows in advance to come prepared to share the details of the new incentive program, so on and so forth. When everyone is prepared, you’ll find longer meetings will no longer be necessary.
  5. Are we meeting just to meet? Consider your past meeting habits and productivity, then ask yourself, is it better to have one long meeting once a month or several shorter meetings? The answer may just be the key to getting more out of your meeting and your team. If you aren’t sure, try them both to find the right fit for you.


If a successful meeting is what you desire, it is best to cater to your guests just like you would any other event. Keep your time in mind, share your meeting expectations in advance, and remember to change up the content flow or take a break. No worries, you can thank me later.
