If you want to save time and be more productive, the first thing that you need to do is become more organized. That said, here are some helpful tips on how staying organized and getting more done.

Organize Office Space

You should be able to retrieve any document or file at a moment’s notice. This will save you time and improve your efficiency. One idea is to name computer files according to the departments in which you’re working. You can then look them up and print them on the spot.

Moreover, create a system for receiving invoices so you make timely payments. Similarly, keep your workplace clutter-free to avoid losing essential documents or forms. A general rule of thumb is to set aside 10 minutes each week to tidy up your workspace. Toss away items you don’t need and wipe your desk down every day. That way, when you come in you will feel refreshed and organized.

As the business owner, your daily tasks range anywhere from helping an employee with paperwork to deciding the next strategic direction for your marketing team. You need to keep all running jobs on a checklist so that you don’t forget anything important. Write them down on a calendar or make phone alerts. You will also want to organize your tasks by importance level. Something that must be completed the same day should be prioritized over something that can be fulfilled next week.

Keep Records

Start tracking how long it takes you to complete tasks; this will give you an idea of much time you need to provide yourself with. Always look back on jobs to see how you can improve what you already do.

You will also want to use a project log to maintain statuses on all projects. That way you can better keep the projects moving toward the due date, even if you need to add additional resources to complete something.

Delegate

Delegating gets more difficult the higher up you are in an organization, That’s because there’s only so many people with the skills to complete particular tasks. But delegating is essential if you want to make yourself more productive. Have your team complete assignments when you are otherwise too busy. You will want to delegate tasks according to the skill levels of your employees. Once they prove they can handle them, assign more difficult tasks.
